Our Government, Education & Commercial Projects Division competes for millions of dollars in public and private sector opportunities every year. From local school districts and universities to federal agencies and nationwide commercial projects, we help design, furnish, and equip commercial kitchens that serve thousands of people every day.

We're looking for an organized, analytical, and highly detail-oriented Bid & Proposal Specialist to become an important member of our growing team.

This is not a sales position.

Instead, you'll play a critical role in helping our company secure new business by preparing professional, accurate, and compliant bid proposals for projects across the country. Your work will directly contribute to winning projects that help grow our company and serve customers nationwide.

What You'll Do

Bid & Proposal Management

  • Review Requests for Proposal (RFPs), Invitations to Bid (ITBs), RFQs, and project specifications.
  • Prepare complete, professional, and accurate bid submissions.
  • Organize all required bid documents and supporting materials.
  • Track bid calendars, submission deadlines, and project schedules.
  • Coordinate proposal packages from start to finish.
  • Ensure every submission is accurate, complete, and delivered on time.

Vendor Pricing & Project Coordination

  • Request pricing from manufacturers and distributors.
  • Analyze vendor quotations for accuracy and competitiveness.
  • Coordinate pricing approvals with company leadership.
  • Verify product pricing, freight, and margins before proposals are submitted.
  • Communicate with vendors regarding product availability and project requirements.

Government, Education & Commercial Project Support

  • Maintain organized project files and bid documentation.
  • Coordinate information between sales, purchasing, manufacturers, and vendors.
  • Assist with awarded project setup and documentation.
  • Track project opportunities throughout the bidding process.
  • Support multiple active projects simultaneously.

Contract Compliance & Documentation

  • Review project specifications and contract requirements.
  • Maintain required certifications and compliance documents.
  • Ensure proposals satisfy customer and government requirements.
  • Perform quality control reviews before submission.
  • Help eliminate costly errors and prevent proposal disqualifications.

Process Improvement

  • Help improve bidding procedures and internal workflows.
  • Maintain organized electronic project files.
  • Identify opportunities to improve efficiency and proposal quality.
  • Assist in developing best practices for the Government, Education & Commercial Projects Division.

What We're Looking For

Required Qualifications

  • Exceptional attention to detail.

  • Advanced Microsoft Excel, Word, Outlook, and Adobe Acrobat skills.

  • Ability to work independently while collaborating effectively with a team.

Preferred Qualifications

  • Experience preparing bids, proposals, estimates, or contract documents.
  • Government contracting experience.
  • Experience in foodservice equipment, commercial construction, distribution, manufacturing, architecture, engineering, or project management.
  • Experience reading project specifications and construction documents.
  • Experience using ERP, CRM, estimating, or bid management software.
