Position Summary
The Contract Sales Assistant ensures the precision and success of our government and GC bidding process by managing complex documentation and vendor coordination.
Ideal for a process-oriented professional who thrives on accuracy and structured, detail-intensive work.
Core Responsibilities
RFQ & Bid Document Review
- Analyze RFQs, IFBs, and RFPs to identify all required forms and certifications
- Extract equipment lists, model numbers, and compliance specifications
- Create internal checklists to ensure zero-error submissions
Vendor & Pricing Coordination
- Request and persistently follow up on pricing from manufacturers and reps
- Verify lead times, freight terms, and compliance requirements
- Clarify substitutions or "approved equals" when necessary
Quote Entry & Bid Preparation
- Accurately enter pricing, margins, and freight into quoting software
- Assemble completed quote packages for final Bid Clerk review
- Maintain a live deadline calendar to manage multiple active bids
